"Checklists used to be done all on paper. We saved paper, printing, and, most importantly, time by gathering all the information digitally in one place."

The challenge

At a terminal of this scale, every cargo movement matters. DP World – Santos handles thousands of stuffing, distribution, and storage operations, each one requiring photo documentation, checklists, and reports as proof of cargo condition at the moment of handling.

The problem was that none of this evidence lived in one place. Teams relied on physical cameras and paper checklists, making it nearly impossible to centralize records or trace documentation back to a specific load. Customizing inspection workflows was difficult, leading to errors during cargo inspections and hours lost correcting data and chasing paperwork.

When customers requested proof of a shipment — sometimes months after the fact — the team could spend up to three days searching for the right photos and documents. The older the record, the harder it was to find.

Our approach

Cargosnap replaced DP World – Santos's fragmented, paper-based process with a single digital platform built for the realities of material handling. Handlers now capture photos and complete checklists directly from their mobile devices at the point of handling, automatically linked to the container reference number, timestamped, and stored instantly.

Custom workflows were configured to match DP World's specific inspection requirements, including the international 7-point container inspection certificate. Completed inspections generate compliant documents that can be signed digitally and submitted directly to the Federal Revenue of Brazil.

Today, I have complete information about the inspection. When I take a picture, I know it will be stored with a container's reference number, and I can send reports in a few minutes without stopping to upload the images.

The impact

What once took days now takes minutes. Every photo captured on the terminal floor is immediately searchable by container reference. No uploads, no manual filing, no lost evidence. A process that previously consumed up to three days of back-and-forth now delivers a complete inspection report in minutes, without anyone stopping their operation to make it happen.

Paperless checklists didn't just eliminate printing costs. They eliminated the gap between what happens on the floor and what gets recorded. When hands are on the cargo, the data is captured right there and then, tied to the right reference, by the right person. No transcription, no delay, no doubt.

For a terminal handling international freight at scale, that traceability is everything. DP World – Santos can now demonstrate exactly how cargo was loaded, inspected, and handed over — at any point in time, for any customer, going back as far as needed. When a damage claim arises at destination, the visual proof is already there: timestamped, geo-tagged, and ready to share.
