How Gelog runs error-proof operations

"With a manual inspection, we lost some cargo photos. If the employee forgot to take a picture at a certain angle, we had little control and couldn't go back and do it again. It was very confusing and rather annoying."


"Cargosnap has everything we need to optimize our supply chain operations," says Rodrigo Fente, IT Coordinator at Gelog.   

 

Gelog used to take pictures with cameras and then upload them to computers. The person responsible for downloading the images also had to organize and rename them, making it challenging to manage the information or even to send a report to the client.   

 

According to Rodrigo, his team struggled to track cargo information. They relied on paper documents and handheld cameras to keep an overview. As every inspection was very manual and time-consuming, the staff had little control over the process, and the procedures were not always standardized.  

 

The photos were taken and handed over between shifts: an employee would take pictures in the morning, and then take them to the responsible person in the office. As a result, it was hard to identify which images belonged to which shipment.

SOLUTION


"We didn't have any issues in understanding the system. And if a question would pop-up, it was resolved by the Customer Success team of Cargosnap."


The Gelog team was happy to find a solution that would adapt to their workflows and provide support for implementing and customizing its quality cargo control checklists. "Everything was easy!" comments Rodrigo.   

 

Rodolfo Cunha, an Operational Coordinator, says that Cargosnap's Customer Success team helped the team analyze the entire cargo transport and storage process. The goal was to standardize the procedures and ensure they comply with the company's policies and regulatory authorities. 

   

Everything used to be on paper, resulting in operational errors and low accuracy control. Today, the Gelog process has been digitized; inspections are done using smartphones, generating a better experience for the employee in the warehouse and directing the decision-making in case of issues.   

 

The new process has developed an error-proof procedure. Inspections are digitized from the beginning, and Gelog's team has eliminated the risk of typing errors by using their smartphone's camera and scanning barcodes and references.

RESULTS


"There was a reduction of one position in the administrative department where the photos were received. Today, all the information goes directly to a single platform without manual input."

"I remember when we used to take a series of photos at the time of shipment, we ended up getting confused afterwards, which image belonged to which cargo. Now we have deployed Cargosnap in our operations, we store all data, classifying each cargo with its specific reference." says Rodrigo.

 

The first results appeared in an aluminium unloading and loading operation in Pindamonhangaba, Brazil. The customer required photo reports daily, prior to cargo being shipped. With Cargosnap, the Gelog team could easily send cargo reports with correct references, images and timestamps in a few clicks. 


Rodrigo explains:   

   

"As a carrier, we have customers from various industries: aluminium, chemical, agriculture, cotton. We get many inspection requirements, and Cargosnap is suitable for all these types of operations."   

   

"A big advantage of Cargosnap is that we’re able to work offline. In some parts of the warehouse, we don't have a good internet connection. However, we keep working; as soon as we connect to a network, all photos and documents are uploaded to the platform."   

   

Rodrigo says that Cargosnap helped to acquire the AEO (Authorized Economic Operator) certificate. "We meet the legal obligations, which is importance as we have customers who ask for these certifications."   

   

"Within a week, the team already understood how the solution works. It's fast, effective, and meets all our needs," says Rodolfo.
