How DP World - Santos manages more than 2,000 inspections monthly with Cargosnap

DP World – Santos is responsible for operating one of the largest and most modern private multi-purpose port terminals in Brazil. DPW focuses on international cargo transportation and offers door-to-door logistics services, integrating various stages of the customer's supply chain. It's located in a strategic area and has access by sea, road, and rail.

CHALLENGE


"We had to take photos, upload them to a computer, and only the person who created them could see them; it wasn't accessible to the rest of the operational team."


DP World - Santos handles cargo distribution, stuffing, and storage operations. Given this scenario, DPW's great challenge was centralizing all the pictures, checklists, and documents into a single platform. 


With a range of customers, taking photos of cargo is mandatory in their process.
They want to know how the goods are loaded. A report guarantees that the shipment was inspected and sent in perfect condition. If cargo damage is encountered at the destination, they can claim the shipowner or anyone responsible for the cargo damage, having gathered sufficient visual proof. 


According to Djavan Leite, Logistics Supervisor, the team used outdated processes, which did not centralize all the information.
Cameras were used, making it challenging to manage the evidence of operations, and all checklists were done on paper.   


Customizing workflows was difficult, leading to many mistakes during load inspections. Consequently, much time was wasted correcting the data and tracing the relevant documentation.

SOLUTION


“At first, we worked along with the paper and the App, but as the team noticed the improved efficiency, we even wanted to get rid of the paper.”


At first, DPW was looking for a solution to organize photos. "Besides image storage, the App has much more to offer." The team realized that what was missing was a complete and uncomplicated tool to gather all the information. 


"It started with Fernando de Vera, Operations Manager, and I continued the project. We had an excellent onboarding with support from the Customer Success team; they opened our eyes to the App's various features and how it would optimize supply chain operations, " comments Djavan. 


"Those who work at the terminal don't have much time. So,
we decided to use Cargosnap to centralize and optimize our forms and checklists. Such an intuitive platform! Everything on paper is the system, and it was all set within a week," says Djavan.


In addition to the terminal, DP World works with an external administrative office. When a picture is taken, it is immediately available to the entire team. Now we have real-time supply chain visibility, so everyone knows what they are doing.

RESULTS

DP World - Santos frequently received requests from customers to provide pictures or documents of cargo that was shipped months prior. It took them up to 3 days to locate recent inspections; if it was something old, it could take even longer.


The older the file, the longer it took to find the information, as there was no traceability. Djavan explains: 


"Today, I have complete information about the inspection. When I take a picture, I know it will be stored with a container's reference number, and I can send reports in a few minutes without stopping to upload the images."   


 "Checklists used to be done all on paper. We saved paper, printing, and, most importantly, time by gathering all the information digitally in one place."


Cargosnap helps DP World - Santos to obtain the international 7-point container inspection certificate. With all the information gathered digitally, the team imports a valid document and sends it to the Federal Revenue of Brazil, signed by the person responsible. 


DP World looked up companies in the market and decided to go for CargoSnap. "We investigated other solutions and adopted Cargosnap because of its speed and reliability," says Djavan.
